Invoice Reconciliation Problems
Many parts managers run into invoice reconciliation problems. There are many different reasons for this, but one of the main causes is employees bypassing the ScanIt Parts system and receiving parts directly into the DSP/DMS.
Your employees may not understand the implications of bypassing the system, but you, as the parts manager, will eventually have to fix all of these problems when you try to reconcile your inventory. To save the work and difficulties this would cause you, it is very important that you teach your employees how to use the ScanIt Parts system and deal with problems, such as bin codes not scanning or parts not posting.
Whether it is because a bin code will not scan or any number of other reasons, the part must be put into the system for your invoice reconciliation to be accurate. If the part does not scan, the next step for the person scanning should be to manually input the part number into the scanner unit. If, for some reason, this does not work, they will have to manually post the part number, control number, shipper number, and quantity into the program through the Manual option that can be accessed in the ScanIt Parts Main Menu.
If your employees are following these steps, and you are running and following up on the posting errors, over/shorts, and shipment status reports, there should be no reason your invoice reconciliation does not work perfectly.
